Job description
We are seeking a proactive and detail-oriented HR Executive to join our growing team in Kuala Lumpur. The successful candidate will play a key role in supporting day-to-day HR operations, ensuring compliance with local employment laws, recruitment, administrative coordination and driving employee engagement initiatives. This position is ideal for someone who is passionate about people and enjoys working in a dynamic and fast-paced environment.
Key Responsibilities
1. Employee Lifecycle & HR Operations
Support end-to-end HR processes from onboarding to offboarding, ensuring a smooth and positive employee experience.
Maintain accurate and up-to-date employee records in the HRIS system.
Assist with administrative tasks including contract preparation, confirmation letters, and HR documentation.
2. Recruitment & Talent Acquisition
Manage the full recruitment cycle for roles in Malaysia, including candidate sourcing, screening, interview coordination, and onboarding.
Conduct qualification verifications and assess cultural fit.
Oversee internship programs, liaising with schools/universities and acting as the main point of contact for interns.
3. Payroll & Statutory Compliance
Consolidate and communicate monthly payroll changes to the external payroll vendor.
Review payroll reports and prepare necessary documentation for management approval.
Ensure compliance with local employment regulations and statutory requirements.
4. Work Pass & Immigration Matters
Administer all Work Pass processes, including new applications, renewals, and cancellations, ensuring compliance with government regulations.
5. Learning & Development
Assist in registering employees for internal and external training programs.
Maintain accurate and updated training records.
6. Performance Management
Support the coordination of performance review cycles, assisting managers and employees through the process.
7. Employee Engagement, CSR & ESG Activities
Organize and coordinate staff engagement initiatives, including charity, CSR, and ESG-related activities to foster a positive workplace culture.
8. General HR & Administrative Support
Handle ad-hoc HR and administrative tasks as assigned by supervisors or the HQ HR team.
Candidate Requirements:
· Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
· Minimum 3-5 years of relevant HR experience, preferably in a regional or generalist role.
· Familiarity with Malaysian Labour Law and statutory requirements.
· Proficiency in MS Office and HRIS systems.
· Excellent communication, interpersonal, and coordination skills.
· Able to manage multiple tasks and work independently in a structured and organized manner.
